More than appointment software

Digitalise the daily work behind your clinic.

VaidyaLoop is planned as a connected workspace—from a patient's first online booking to the doctor's notes, the pharmacy bill and the owner's daily review.

FOUNDING CUSTOMER PROGRAM

First 100 clinics and hospitals: let's shape the workflow around you.

For the first 100 participating clinics and hospitals, bring us the repetitive workflow you want to digitise—registers, queues, forms, approvals or reports. We will work with your team to design a simpler digital version and customise the agreed flow, scope and delivery plan.

Discuss a tailored setup Scope and timelines agreed during discovery.
Training and support planned around clinic hours—not office hours.

Your clinic shouldn't have to wait for help—not even after hours. Because clinic work can't wait. Our proposed support commitment is designed to help your team get started and get help when it matters. Confirm service coverage and response terms before rollout.

The platform

Everything important, in the flow of work.

Each module has a practical purpose: reduce repeated administration, keep information easy to find and help the team act on it.

A connected clinic day

From arrival to receipt, without losing the thread.

Online bookings, phone bookings and walk-ins appear in the same operating view. Staff can check people in, issue tokens and update the appointment status as the clinic moves through the day.

  • ✓ Keep a single view of today's schedule
  • ✓ Track normal, priority and emergency-marked arrivals
  • ✓ Hand off the patient to consultation and billing

01 / Patient access

A clinic people can find and book—without adding work for the front desk.

A dedicated booking page gives your clinic an online point of presence. Patients can check doctor availability and request an appointment when it suits them, while staff retain control of the schedule.

Fewer calls just to check availability

Show clinic timings, doctor profiles, consultation fees and available slots in one place. Staff can still enter calls and walk-ins into the same calendar.

Payment before the visit, when appropriate

Let the clinic choose whether a patient pays online in advance or at the counter. Advance payment may reduce casual no-shows, but it cannot guarantee attendance.

Clear self-service changes

Allow patients to cancel or reschedule according to the clinic's policy, rather than making repeated calls. The clinic can reopen a cancelled slot and manage its waitlist.

One secure workspace · Every device

Move the registers to a phone, tablet or computer.

Appointment books, patient histories, receipts and staff registers do not have to remain in separate notebooks. VaidyaLoop is being designed so authorised team members can find the information they need from a suitable device—at reception, in the consultation room or while checking operations elsewhere.

✓
Find instead of flip through pages

Search a patient, visit, invoice or stock item by the information captured in the system.

✓
Keep the team in sync

Reception, doctor and billing staff work from the same updated record with access controlled by their roles.

✓
Use the device that fits the task

A phone for quick checks, a tablet at the bedside or in the room, and a computer for reports and detailed data entry.

Designed for practical access: secure access from anywhere requires an internet connection for cloud functions and appropriate staff permissions. Offline behaviour and device support must be confirmed during implementation.

02 / Front desk operations

Walk-in patients need a clear process, too.

Online booking cannot replace the reality of a busy clinic. VaidyaLoop is planned to combine scheduled appointments and walk-ins in one queue, so the front desk can see who has arrived, who is waiting and which patient needs staff attention.

Normal

Routine visit placed in the regular token sequence.

Priority

For clinic-defined cases such as a patient who needs an adjusted order. Staff must apply the clinic's policy.

Emergency-marked

Flags the front desk to alert qualified clinical staff immediately. A software token does not perform triage or replace emergency judgement.

Why it matters: fewer “Who is next?” interruptions, clearer waiting status and a record of how the queue moved through the day.

03 / AI-assisted patient history

Know the history before the patient enters the room.

Instead of opening several old prescriptions and notes one by one, a doctor can start with a concise summary of the information already recorded in the clinic system—then check the original entries as needed.

✓
Prepare faster

Bring relevant previous visits, documented medicines and follow-ups into a brief view.

✓
Make room for conversation

Spend less of the appointment searching for context and more time listening to the patient's current concern.

✓
Support continuity

See what was recorded previously and what should be checked again, without assuming that older information is still current.

Clinician stays in control. AI summaries are a planned assistive feature, not a diagnosis. They must show their source context, flag missing information and be reviewed by the clinician. Accuracy and time saved must be validated before clinical use.

04 / Follow-up reminders

Help patients remember the next visit.

A follow-up is only useful if the patient remembers it and knows when to return. VaidyaLoop is planned to let staff record a follow-up date and send a reminder through the clinic's chosen communication channel.

  • ✓ Reminders before scheduled visits
  • ✓ Clear appointment date, time and clinic details
  • ✓ Cancellation or rescheduling link where supported
  • ✓ A record of reminder status where the provider supports it

Reminders can reduce forgetfulness, but delivery depends on the messaging provider, contact details and patient preferences. The clinic should control timing, consent and opt-out handling.

Use daily records to make decisions about patient flow, money, stock and staffing. Reports are only as reliable as the information the clinic records.

AI-assisted staff planning

Plan duty rosters without rebuilding the schedule from scratch.

The proposed AI roster planner would prepare a draft from staff availability, approved leave, roles, required shift coverage and clinic rules. The manager can review gaps, resolve conflicts and approve the schedule instead of manually allocating every duty each time.

✓
Consider availability and leave

Use updated staff availability and approved leave to avoid assigning people who are unavailable.

✓
Check coverage and role requirements

Flag shifts that lack the required role or have more people assigned than needed.

✓
Keep the manager in control

AI proposes a draft; an authorised manager reviews and approves it. Changes remain traceable.

Important: the planner is an upcoming concept. Final scheduling rules, applicable working-hour policies and approvals must be configured with the facility.

06 / Financial clarity

Connect bills, pharmacy, expenses and collections.

An end-to-end accounting layer is planned to help owners understand where money came from, where it went and which amounts still need attention. It should build from recorded transactions—not replace professional accounting advice.

01
Revenue and payment records

Consultation charges, procedures, pharmacy sales, refunds and payment mode.

02
Expenses and suppliers

Record expense categories, supplier purchases, payables and supporting documents.

03
Pharmacy revenue visibility

Compare medicines prescribed with medicines dispensed and sold through the clinic pharmacy where both records exist. This can flag possible outside purchases, but cannot prove a lost sale by itself.

04
Reconciliation and exports

Compare recorded payments with gateway/bank settlements and export reports for the accountant.

Product roadmap

Start with the clinic. Extend when you're ready.

These are planned capabilities. Availability depends on product development, validation and implementation requirements.

Initial focus

Outpatient operations

Appointments, walk-in tokens, doctor schedule, patient history, AI-assisted visit summaries, reminders, billing, pharmacy, staff and operational reports.

Designed for an incremental rollout
Upcoming

In-patient journey and beds

Bed/ward availability, admission, transfer, daily doctor rounds, nursing tasks, treatment notes and discharge coordination—connected to the patient's record.

Planned · Not represented as available today
Upcoming

Critical resource monitoring

Review workflows for oxygen inventory or capacity, blood-bank stock/expiry and critical alerts. Real-time monitoring would require validated processes, integrations and human escalation.

Planned · Not a replacement for clinical monitoring
Upcoming

Queries and end-to-end accounts

Track patient or staff queries from creation through assignment and resolution. Expand accounting to expenses, suppliers, reconciliation, ledgers and accountant-ready exports.

Planned · Scope to be defined with users
Planned inpatient workflow

Doctor rounds, captured at the bedside.

On a doctor's phone or tablet, a future rounds view could show assigned in-patients, the day's visit list, latest observations entered by the care team, notes from each round, orders to review and pending tasks. A timestamped daily report would be available after the rounds are recorded.

Built around your requirements

Your clinic has its own way of working. The setup should reflect that.

Choose which workflows matter most, identify the reports you use and agree on role access before rollout. VaidyaLoop is intended to be configured around practical clinic needs rather than forcing every facility into one fixed process.

✓ Clinic-specific fees and services
✓ Doctor schedules and appointment rules
✓ Staff roles and branch access
✓ Reports relevant to the owner
✓ A staged plan for later modules

Questions worth answering

Before you choose a clinic system.

Clear answers about rollout, payments, AI and future scope.

Is VaidyaLoop available to use today?

This page presents the proposed product and planned capabilities. Availability, supported integrations, pricing and implementation timelines must be confirmed before a clinic signs up.

Can patients book online and still walk in?

The intended workflow combines online bookings, phone bookings and walk-ins in one clinic queue. The clinic's own scheduling rules would determine slot availability and token handling.

Can AI replace the doctor's review of previous prescriptions?

No. The intended AI summary is an assistive overview of records already available in the system. The doctor must review relevant source information and use professional judgement.

Can the system show revenue lost because a patient bought medicine outside?

It can potentially flag differences between prescriptions and pharmacy dispensing/sales records where those records are captured. It cannot know every outside purchase automatically, so the report should be presented as an estimate or follow-up opportunity—not confirmed lost revenue.

Will bed, oxygen and blood-bank management be included?

These are planned future areas, not presented as current capabilities. Each requires detailed workflows, safety reviews and, where needed, validated integrations and escalation procedures.

Can the product be configured for our clinic?

The goal is to configure fees, schedules, services, roles and useful reports around the clinic's needs. The feasible setup and any custom work should be agreed during discovery.

Why consider VaidyaLoop?

Choose the system around the work you need to manage.

The value is not just storing information digitally. It is making the information easier to find, act on and review.
